When you contact us, we collect:

- your email address
- your message (and anything you choose to include)
Enquiries submitted through the website are sent to our business email account (Outlook), so we can reply.
B) Client records (when providing services)
If you become a client, we may store details needed to provide services safely and reliably, such as:
- name, email, phone number
- address/service location and scheduling details
- emergency contact details (if provided)
- access arrangements (e.g., key/lockbox instructions, if applicable)
- service notes and preferences you share with us (e.g., routine notes relevant to delivering the service)
- payment/invoicing records (where applicable)
We store some information digitally (e.g., email threads, notes, invoices) and some physically (e.g., printed forms/records).
C) Website usage and security data
When you visit our website, our website infrastructure may process limited technical data (e.g., IP address, device/browser info, pages viewed, and referral info) for security, performance, and basic traffic measurement.
We use Cloudflare Web Analytics and Hostinger’s analytics to understand overall page activity. Cloudflare states its Web Analytics does not use cookies/localStorage and does not fingerprint individuals for analytics.
Hostinger’s help documentation states its analytics tool collects data via Cloudflare CDN and “doesn’t use any cookies or third-party integrations.”
We only use personal data where UK GDPR allows us to. Common lawful bases we rely on include contract, legitimate interests, and legal obligation.

Analytics: Cloudflare Web Analytics is designed to work without analytics cookies or browser storage.

Hostinger Website Builder: Hostinger states that, by default, websites created with its Website Builder do not use cookies unless you add integrations.

We share personal data only where needed to run the website and communications, including:

We keep personal data no longer than necessary for the purposes we collected it for, and then delete or securely dispose of it.
Typical retention periods:
Enquiries (non-clients): up to 12 months after our last contact.
Client records: usually kept while you are a client and typically up to 5 years afterwards (this aligns with the general five-year prescription period that can apply to many obligations in Scotland).
Tax/accounting records (where applicable): HMRC guidance for self-employed record keeping is at least 5 years after the 31 January submission deadline for the relevant tax year.
Website/security logs: kept for a limited period as needed for security and troubleshooting.
We may keep information longer if we need it for legal, regulatory, insurance, or dispute-handling reasons.
